We are looking to appoint a motivated and enthusiastic person who has excellent senior personal assistant, organisational, administrative and interpersonal skills, and a high level knowledge of Microsoft Office software, i.e. Outlook, Word, Excel etc.
The main requirements of the role will be to ensure the delivery of a comprehensive, high quality secretarial and administrative service to the Director of Nursing, Allied Health Professionals (AHPs), Quality & Patient Experience. This will include management of an extremely busy diary, meeting preparation and formal minute taking, typing/word processing of letters, reports, and other correspondence.
Essential educational, skills, knowledge and experience requirements are detailed in the Job Description and Person Specification. This is a very busy role and the successful candidate will need to be able to work without direct supervision to meet challenging demands and should be able to evidence their experience of working at a similar high level in their current/previous role. Candidates must have experience of working for a senior, Board level Director.
Candidates who perform well at interview will be asked to return to the site on 20/11/2025 to undertake a timed test in order to demonstrate they can meet the required standard.
Please Note: Interview date is 1st December (in person at Kingsway) and Test for successful candidates from Stage 1 will be on 4th December (in person at Kingsway).
To provide a high quality secretarial service in support of the Trust’s HQ function, including complex diary and email management, preparation of agendas and papers, formal minute taking, typing/word processing of letters, memo’s, reports and other routine correspondence.
Day to day complex diary management for up to two Directors, providing a comprehensive, high quality secretarial service, including typing/word processing of letters, memo’s, minutes, reports and other routine correspondence.
Email inbox management, deal with routine responses and flag emails for attention as required.
Undertake the preparation of agenda and papers, including formal minute taking and meeting notes at key meetings.
Produce documents, charts, tables, databases etc., by use of Microsoft IT Packages, e.g. Word, Excel, Access and Outlook.
Ensure the maintenance of accurate and efficient filing systems, including both paper and computerised systems ensuring strict confidentiality of identifiable information.
Work on own initiative to manage, prioritise and delegate clerical tasks, as appropriate.
Receive and make telephone calls, taking messages, dealing with enquiries appropriately and ensuring accurate and timely communication of
messages.
Provide cover for Director’s Executive PAs in the Trust’s HQ function as required.
